Privacy Policy

Apollo Companion is owned and operated by Apollo Phoenix Ventures LLC, a Texas limited liability company founded by Marco Flores Melchor. This Privacy Policy explains what data we collect when you use Apollo Companion, how we use it, and your rights with respect to it.

1. What We Collect

When you use Apollo Companion, we collect the following categories of information:

• Account data. When you create an account, we collect your email address and a password. Passwords are securely hashed by our authentication provider (Supabase); we never see or store your password in plaintext. You may optionally connect a Discord account, in which case we receive your Discord display name, username, avatar, and user ID; we never receive your Discord password.
• Build and garage data. Vehicles, parts, prices, statuses, notes, build logs, and activity entries you create in the app are synced to your account and stored on our servers.
• Community content. Posts, comments, reactions, builder profile information (bio, avatar, banner, social links), and any images you upload to the community platform are stored on our servers and visible to other registered members.
• Location you type in. If you enter a city and state, we store it on your profile and use it to sort events by distance and to show you what is happening nearby. This is optional, and you can change or clear it at any time in your profile.
• "Near Me" device location (Events). Events has a separate, always-optional "Near Me" control. Tapping it asks your browser or device for your current location, one time, only for that request, so we can sort and show nearby events by real distance. We do not store this location — it is not written to your profile, not saved to our servers, and not kept after you close or leave the page. It is requested only while you are actively using Events (never in the background, never automatically), and denying or ignoring the prompt does not affect any other part of the app: Events keeps working normally by city and state instead.
• AI chat and research input. Text you submit to Apollo Chat, research features, or Source Intelligence is transmitted to third-party AI and search providers (currently OpenAI and Tavily) to generate responses. These providers process your input under their own privacy policies.
• Parts scraping data. When you provide a vendor URL, we fetch publicly available product and pricing information from that page on your behalf.
• Uploaded images. Photos you upload for posts, your community profile, or your profile banner are stored in our cloud storage and accessible via public URL once published.
• Notification tokens. If you turn on notifications, your device or browser gives us a notification token (on iPhone, an Apple push token). We store it on your account only to deliver the notifications you asked for, such as event reminders. It is never used for advertising or shared with anyone except Apple or your browser's push service, which deliver the message. Turn notifications off and the token stops working; deleting your account deletes it.
• Usage data. We collect information about features accessed, navigation patterns, and session information to improve the Service.
• Diagnostics and crash data. We collect crash reports, error logs, and performance diagnostics (via Sentry) to identify and fix problems and keep the Service stable.
• Feedback and bug reports. Content submitted through the in-app feedback tools is received directly by the development team.

2. How We Use Your Data

• To create, maintain, and operate your account and build data;
• To display your profile and community content to other registered members;
• To generate AI responses, research syntheses, and recommendations;
• To fetch parts pricing and product data at your request;
• To improve the Service, fix bugs, and develop new features;
• To send you notifications within the app (you control notification preferences in Settings);
• To enforce our Terms of Service and Community Guidelines.

We do not sell your data to third parties, and we do not use third-party advertising networks, advertising cookies, or cross-site tracking.

Apollo does show sponsored placements. When it does, the sponsor is chosen on our own servers by matching your vehicle’s make, model, platform, year and region, so that what you are shown relates to the car you actually own. Sponsors receive aggregate performance figures only, such as impression and click counts. They do not receive your identity, your account details, or the contents of your garage, and they have no access to our systems.

3. Data Storage and Security

Data is stored using Supabase, which encrypts data in transit (TLS) and at rest. Uploaded images are stored in Supabase Storage. We apply server-side key management and row-level data isolation so each user can only access their own data. No product can guarantee absolute security; if you discover a vulnerability, please report it privately to apollocompanionsupport@gmail.com.

4. Third-Party Services

Apollo Companion relies on the following third-party services, each governed by their own privacy policies:

• Supabase — database, authentication, and file storage;
• OpenAI — AI language model responses;
• Tavily — web search for research features;
• Sentry — error monitoring and crash reporting;
• Discord — optional account connection and community integrations;
• Vercel — hosting, infrastructure, and privacy-friendly usage analytics.

Text you send to AI features is transmitted to OpenAI and Tavily. Do not submit sensitive personal information (government IDs, financial credentials, health data) to these features.

5. Community Content Visibility

Posts, comments, builder profiles, and uploaded images are visible to all registered Apollo Companion members. Think carefully before sharing photos — review them for license plates, home addresses, garage locations, street signs, or other identifying information before posting. See our Community Guidelines for full guidance.

6. Data Retention

We retain your data for as long as your account is active. You may delete your account and all associated data at any time directly in the app (Settings → Account & Data → Delete my account), or by emailing apollocompanionsupport@gmail.com. Deleting your account permanently removes your profile, vehicles, parts, notes, conversations, community posts, and uploaded images from our active systems. Community posts and comments you delete are removed from public view; residual copies in backups are purged within 90 days, consistent with our Data Deletion Policy. Data you share publicly (posts, comments) may have been seen or copied by other users before deletion.

7. Cookies and Local Storage

Apollo Companion uses browser localStorage and session cookies strictly to maintain your authenticated session (Supabase auth token). We do not use advertising cookies, cross-site tracking cookies, or analytics cookies from third parties. See our Cookie Policy for details.

8. Children's Privacy and Age Requirement

Apollo Companion requires all users to be at least 16 years old. Users under 13 are blocked entirely in compliance with COPPA. Users who indicate they are under 16 during the in-app age verification step are denied access and signed out immediately. We do not knowingly collect personal information from anyone under 13. If you believe a user under 13 has gained access, please contact us at apollocompanionsupport@gmail.com and we will delete their account and data promptly.

9. Changes to This Policy

We may update this Privacy Policy as the Service evolves. Material changes will be communicated through the app. Continued use after notice of changes constitutes acceptance.
